If you've ever been in the middle of a real estate transaction, you know exactly how many moving pieces there are. Contracts. Deadlines. Inspections. Lenders. Title companies. Clients who need hand-holding. Agents juggling six other deals at the same time.

It's a lot. And when one thing slips — even something small — it can derail an entire closing.

I've been coordinating real estate transactions for years, working with agents across Texas, North Carolina, and Quebec. And over time I've developed a process that keeps everything moving smoothly, even when things get complicated.

It Starts With a Master Tracker

The moment a new transaction comes in, the first thing I do is set up a master tracker. This is usually a customised spreadsheet that captures everything: the property address, key contacts, critical dates, document statuses, and any outstanding action items.

This tracker is the single source of truth for the entire transaction. At any point, anyone involved can look at it and immediately understand where things stand. No digging through emails. No "wait, did we get that signed?" moments.

I update it every single day. Non-negotiably.

Deadlines Get Calendar Reminders — Always

One of the biggest risks in any transaction is a missed deadline. Inspection contingency windows. Loan commitment dates. Closing day itself. Miss one of these and you're looking at extensions, renegotiations, or worse — a deal falling apart.

I calendar every single deadline the moment I receive the contract. And I don't just set one reminder — I set multiple. A 7-day warning, a 48-hour warning, and a same-day alert. That way, nothing sneaks up on anyone.

Proactive Communication Is Everything

Here's something I believe deeply: in transaction coordination, no news is not good news. No news is anxiety.

Clients, agents, lenders — everyone in a transaction is waiting to hear that things are progressing. So I don't wait to be asked. I send regular updates, even when there's nothing dramatic to report. A quick "everything is on track, here's where we stand" message does so much for everyone's peace of mind.

I also make it a point to flag potential problems early. If I see something that might cause a delay, I raise it immediately — not the day before closing.

Document Management: Organized, Accessible, Secure

By the time a transaction closes, there are dozens of documents involved. Purchase agreements, addenda, inspection reports, disclosures, title documents, closing statements. The list goes on.

I maintain a clearly organized digital folder for every transaction — named consistently, structured logically, and accessible to whoever needs it. Every document is tracked: sent, received, signed, pending. Nothing gets lost.

The Closing Checklist

As closing day approaches, I work through a detailed checklist to make sure absolutely nothing has been missed. Final walkthrough confirmed? Closing disclosure reviewed? Keys arranged? Wire instructions sent? Utility transfers scheduled?

This checklist has saved more than a few closings. It's the kind of thing that seems overly detailed until the one day it catches something that would have been a problem.
